June 23, 2018 - Community Association Executive Administrator

Areas: Orlando

Community association executive administrator for an association in Windermere. Will act as the primary representative of the community, reporting directly to community association manager and board. This position works closely with residents and prospective residents and is responsible for the smooth operation of the association. This is a salaried/exempt position working generally Monday through Friday, 8:30 a.m. to 5:30 p.m., with occasional evenings and weekends required.


* Must be a team player who understands and commits to a high level of interdepartmental communications.

* Expert level written and verbal communication skills required. Must be able to communicate effectively with individuals at all socioeconomic levels.

* Must have a minimum of 5-7 years community association management experience with a comparable community.

* Outstanding organization and interpersonal skills are essential.

* Strong decision making ability and attention to detail.

* Must have the ability to think critically and manage conflict.

* Must be proficient with technology, including all Microsoft Office Suite applications.

* Must be insurable for automobile insurance with the auto insurance carrier.

* Must be able to read, write and communicate effectively.


* Act as an ambassador and advocate for the community.

* Serve as the primary liaison of the association, coordinating, communicating and advising the board on a regular basis.

* Continuously create and foster board and owner relationships. Routinely communicate with the board, committees and residents to discuss and monitor their level of satisfaction.

* Deliver a formal monthly report to the board, detailing the state of the community and all items of significance, proposing solutions to any problems.

* Responsible for the agenda and minutes for quarterly board meetings and annual member meetings.

* Ensure that common areas meet the high standards of maintenance required within the community.

* Ensure buyers have a seamless experience receiving all pertinent homeowner information on a timely basis.

* Respond to all inquiries from residents and communicate to all board members in a timely and effective manner.

* Lead prospects through the application process ensuring proper collection of all applicable data and fees.

* Maintain and update covenants and restrictions and association bylaws and regulations.

* Update construction status for the community.

* Perform frequent visual inspections of the community and follow up for repair or improvement of identified issues.

* Communicate with residents, builders, contractors, etc. with respect to any association violations or security issues.

* Oversee cable service provider to ensure service to residents is meeting contractual obligations.

* Communicate with corporate counsel in relation to any legal matters regarding the association.

* Attend weekly community wide management staff meetings and communicate during those meetings all issues of importance and that may affect other departmental operations.

* Ensure all association records are maintained, updated and communicated.

* Answer and respond to all questions from prospective buyers.

* Manage the overall smooth operation of the Design Review Board, including management or maintenance of records, agendas, minutes, submittals, communication, permits, plans, invoices and deposits.
