Remote senior staff accountant with periodic scheduled office visits in Ormond Beach, 40 hours per week, CAM license not required. Initial 10 days of employment to be spent onsite in Ormond Beach with the cost of accommodations or commute to be borne by the employer.

Will be responsible for the preparation of monthly client financial report packages to be distributed to management firm senior management, client directors and owners. Regular tasks include accurately booking all income and expenses, accruals and prepaids, preparation and posting of journal entries, performing a routine review of the general ledger for accuracy and more specifically, providing a complete and thorough assessment of the financial health of each community association client monthly. Additional tasks may include assistance with client annual budget preparation, regular ACH processing activity, property changes and other financial reporting tasks that may be from time to time assigned.

Job Duties: Administer financial activity preparing financial reports within generally accepted accounting practices for the management company on behalf of community association clients.

Accounts Payable:

* Review check requests for proper coding, vendor identification, association identification, invoice number, invoice date and amounts as shown on invoices.

* Prepare check requests for invoices that are not prepared by the community manager.

* Review data input, balance and post AP batches.

* Track outstanding AP checks during the signature cycle and follow up on any outstanding longer than 60 days.

* Assure manually issued checks receive proper signatures before disbursement to vendors.

* Ensure check requests and checks are processed in a timely manner to avoid any late fees.

Financial Reporting:

* Journalize accrual of expenses, automatic journal entries and reclassifications.

* Prepare monthly financial reports including: balance sheet, income statements, statement of changes in fund balances (operating and reserve), summaries of accounts receivable and payable and schedules for prepaid expenses, reserves, deficit funding and insurance.

* Perform bank and certificate of deposit reconciliations.

* Publish financial reports for distribution to community managers and board members alike.

* Prepare variance report and provide to community manager.

Other Related Activities:

* Transfer funds in accordance with reserve schedules and nonautomated sweep accounts.

* Open and close accounts to manage the cash assets of the clients in accordance with the client’s desire to maintain segregation of funds as required by Florida statutes.

* Notify community managers 2 months prior to insurance expiration via email communications and follow up on progress of policy renewals.

* Verify and process warranty deeds daily or as needed.

End of Year:

* Prepare budget worksheets projecting end of year revenues and expense ensuring nonrecurring expenses are identified and calculated to prevent over projecting the end of year totals.

* Ensure calculated cells in Excel budget worksheets are accurately reflecting the revenue and expense of the column categories.

* Input approved budget into VMS or other software for final verification of accuracy in addition/subtraction/formulas.

* Support auditors with appropriate documentation, reports and adjustments.

* Close the end of year accounts by following prescribed procedures.

* Ensure all federal and state taxes and association fees are paid within the time frame established by Florida statute.

Full time, 40 hours per week, 11 company paid holidays, 10 personal days, after 6 months of employment. Group health with employer contribution ($450 monthly), United Healthcare, 90 day waiting period, 401k plans available, 6 month waiting period, 4.5% employer match.
