Experienced general manager for onsite administration and maintenance of a beautiful condominium in Bradenton. Will play a pivotal role in overseeing the daily operations and long term planning of the association. Will work closely with the board to ensure optimal functionality and safety. Must be skilled, service oriented and take pride in being dependable, solutions focused and hands on with day to day maintenance operations, as well as understand the vital role maintenance plays in resident satisfaction and community standards. This is a demanding role requiring flexibility, as the manager must be available 24/7 to address emergencies and other time sensitive matters. While much of the job involves office tasks and interactions with residents, frequent site visits and inspections are necessary to ensure the community meets required standards.

* Prepare monthly management reports for the board that include the following categories of information: Finance, Contracts, Maintenance, Insurance, Personnel, Communications and Legal.
* Prepare annual owners meeting agenda, voting materials and meeting minutes.
* Prepare the annual budget (operating and reserves).
* Attend committee meetings.
* Supervise office and maintenance staff.
* Supervise and provide oversight and implementation of service and maintenance contracts.
General:
* Must have 5-10 years of experience in facilities and operations management or equivalent.
* Spanish language skills a plus.
* Ability to understand, follow and ensure compliance of the governing documents, including the employee and operations manuals.
* Knowledge of, and ensure compliance with, applicable Florida statutes.
* Knowledgeable in building systems, preventive maintenance practices and vendor/service contract management.
* Proficient in Microsoft Office Suite and Zoom and ability to learn various association web applications and management software.
* Willing to work occasional evenings, weekends and holidays.
* Valid Florida driver’s license and own vehicle.
* Ensure compliance with safety standards and local codes. Liaison with public safety agencies.
* Manage and maintain accurate records, correspondence, contracts and association files, including computer digital records as required by Florida statutes.
* Knowledge of personnel procedures, hire, train and supervise.
* Ensure performance and compliance with the contract terms and community standards.
* Coordinate with legal counsel on violations, liens and legal matters.
* Coordinate emergency response and disaster recovery.
* Respond to resident inquiries, complaints and requests in a professional and timely manner.
* Coordinate all communication to residents, including notices, bulletins and newsletter content.
* Attend and report at committee meetings. Assist committee chairs. Compile minutes for committee approval.
Facilities Management:
* Oversee and address the day to day repairs and maintenance of common areas.
* Conduct periodic inspections of the common areas, generate maintenance work orders.
* Ensure cleanliness and safety of the amenities, building, office and surrounding grounds.
* Monitor the community to ensure adherence to rules and addressing potential issues is essential in maintaining an association that all residents and guests can enjoy.
* Coordinate and supervise outside vendors, contractors and service providers.
* Seeks competitive bids for projects and services.
* Generate and oversee contractor generated Requests for Proposal for capital projects.
* Negotiate contracts, including insurance contracts.
* Knowledge of government and legally required insurance coverage, concepts and terms.
* Support occasional special events for owners with set up and take down.
Financial:
* Possess basic accounting skills.
* Develop the annual operating and reserve budget in collaboration with the Budget Committee and the board.
* Ability to interpret financial reports.
* Act as liaison with the accountants and independent auditor.
* Review and approve payroll and expenditures.
* Monitors all expenditures (operating and reserves) through review of the monthly statements, budget versus actual, provided by the accountants.
* Ensure the association stays within the budget.
