Office administrator for an oceanfront condominium in Pompano Beach, CAM license not required. Will play a critical role in the daily operations of the association, ensuring smooth administrative, financial and operational functions. Will serve as a central point of contact for residents, support board and committee activities and uphold the professionalism and efficiency of the office environment.
Requirements:
* 3+ years of experience in office administration, preferably in an association management or condominium setting.
* Proficiency with association management software and Microsoft Office.
* Strong organizational skills and a keen attention to detail.
* Excellent verbal and written communication skills.
* Ability to manage confidential information with discretion.
* Familiarity with payroll and financial processes is a plus.
Responsibilities:
Financial Administration
* Oversee all accounts payable and receivable activities.
* Process weekly invoices and checks for board and treasurer approval.
* Record resident payments in TOPS/Enumerate and reconcile with online banking.
* Manage bank deposits, transfers and withdrawals.
* Process employee payroll and direct deposits.
* Prepare and remit payroll taxes, assist with year end audit preparation.
* Maintain financial records, including monthly general ledger reports.
* Report delinquencies and issue monthly notices to residents.
* Post monthly maintenance fees and applicable late charges.
Resident Relations
* Manage resident onboarding, orientation and related documentation.
* Respond to inquiries by phone, email and in person.
* Maintain accurate records for owners, renters, pets and transponders.
* Handle account updates, unit sale documentation and estoppel letters.
* Administer storage closet rentals and billing.
Board and Committee Support
* Assist board members with administrative tasks and reporting.
* Distribute monthly updates and financial summaries to the board.
* Coordinate board and committee meetings, including Zoom setup and agenda posting.
* Organize and manage the annual election process, including ballot distribution.
Office and Records Management
* Maintain organized records and filing systems for current and previous years.
* Manage office supplies and equipment.
* Oversee fiscal year transitions, including record archiving and cabinet organization.
* Ensure adherence to document retention and confidentiality policies.
Compliance and Operational Support
* Collaborate with CPA on monthly financial reports and audits.
* Support external auditors during annual audits.
* Assist with workers compensation, employee health insurance and related audits.
* Track employee vacation and sick leave records. Manage community communications, including website updates.
