April 10, 2024 - Administrative Assistant: $20-$22 per hour

Areas: Fort Lauderdale

Administrative assistant needed for a condominium in Pompano Beach, CAM license not required. Must be capable of performing the job duties in a professional and competent manner. Providing service in a friendly and respectful manner is essential, while maintaining a professional appearance and demeanor. The position requires organizational and time management skills. Will be expected to understand and support the manager, board members and association members to include, greeting and smiling, showing respect with name recognition and eye contact, accepting the empowerment to exceed everyone's expectations and showing enthusiasm for your position and duties, being accountable and trustworthy in your duties and transparent in everything you do, while adhering to policy and confidentiality.

Requirements:

* Prior experience in a related position, a minimum of 1 year of experience.

* Working knowledge of computer and associated programs, including Microsoft Office Suite.

* Ability to multi task, set and manage priorities.

* Excellent communication and listening skills to interact with a diverse and multi culture population.

* Keyboarding ability with accuracy at 45-50 words per minute.

* Must function in a team organized environment.

Duties and Essential Functions:

* Assist in the daily operation of the management office and administrative duties following established procedures and guidelines.

* Perform administrative assistant functions, including filing, record keeping, word processing, data entry, maintain, keep inventory and replenish office supplies, invoice processing, delinquency reporting and communication to unit owners, assist unit owners where possible with requests such as faxing, printing of documents, communication with association vendors for work in units hired by the unit owners, redacting mass emails and printing of notices for posting and removal of same in a timely manner.

* Maintain, update, type and coordinate account information in computer database.

* Research any owner discrepancies regarding payment to accounts.

* Coordinate and track important dates and meetings, such as turnover, annual and budget meetings.

* Ensure the telephone is answered properly, and messages are handled courteously, accurately and responded to in a timely manner.

* Assist with front desk coverage.

* Ensure that emails are responded to within 24 hours.

* Ensure that all association mail is picked up daily.

* Provide and maintain architectural approvals, maintenance requests and sale and lease information.

* Reservation and coordination of special events rooms.

Physical Demands:

Will occasionally be required to sit, stand, reach, lift, bend, kneel, stoop, climb, push and pull items weighing 20 pounds or less. Must have the ability to follow written and oral instructions and procedures.

Travel:

Minimal travel will be required for this position. Travel will be to attend meetings and trainings at an off site location, generally within the city limits of the job site. Job #13012
